Booking travel means sharing personal details such as your name, passport and phone number. This policy explains, in plain language, what we collect, why, who we share it with and how you stay in control. It follows the Uganda Data Protection and Privacy Act, 2019 and the Kenya Data Protection Act, 2019.

1. Who we are

"Sydney JetRoute Expeditions", "we" and "us" means:

  • Sydney JetRoute Expeditions Limited, a company registered in Uganda (Reg. No. 80049353054958), 1st Floor, Royal Foam building, near the traffic lights, Bukoto–Kisasi Road, Kampala, P.O. Box 209156 Kampala GPO; and
  • Seemiu Safaris Limited, a company registered in Kenya (PVT-VQ1O329V), trading as Sydney JetRoute Expeditions.

We decide how your personal data is used for your bookings, so we are the "data controller".

2. What we collect

  • Identity and travel documents: full name as on your passport or ID, date of birth, gender, nationality, passport or national ID number and expiry, and for passport applications your national ID number (NIN), place of birth and old passport number.
  • Contact details: phone or WhatsApp number, email address and, for transfers or pick-ups, an address or hotel name.
  • Trip details: destinations, dates, flights, room and meal choices, frequent flyer numbers, special requests, and the church or organisation you travel with.
  • Health-related details, only if you share them: for example a wheelchair request or a meal need. We use these only to arrange your service.
  • Visa documents you send us, such as photos, bank statements or invitation letters.
  • Payment records: amounts, dates and payment method. We do not see or store full card numbers; card payments go through a secure payment link from our payment provider.
  • Messages you send us on WhatsApp, by email or through our forms.

3. Why we use it

  • To quote, book, issue and manage your tickets, stays, transfers, visas, insurance and passport applications. This is needed to perform our service to you.
  • To take payments, send receipts and remind you of instalments and balances.
  • To contact you about changes, delays or problems with your trip.
  • To meet legal duties, such as tax, accounting, immigration and airline security rules.
  • To send you offers, early-bird deals and event news, only if you agree. You can stop at any time by replying "STOP" or telling us.

4. Who we share it with

We share only what each partner needs to deliver your booking:

  • Airlines, SGR and rail operators, hotels, Airbnb hosts, tour, safari and transfer providers.
  • Embassies, immigration and passport offices, when you ask us to handle a visa or passport.
  • Insurance companies, when you buy travel insurance.
  • Banks, mobile money providers (MTN, Airtel, M-Pesa) and card payment providers.
  • Authorities, when the law requires it.

We never sell your personal data.

5. Sending data abroad

Travel crosses borders, so your details may go to airlines, hotels or embassies in other countries. We send only what is needed for your trip, and we use trusted partners who protect personal data.

6. How long we keep it

  • Booking and payment records: for as long as tax and accounting laws require, then deleted.
  • Copies of passports and visa documents: deleted once your trip and any follow-up are complete, unless you ask us to keep them for future bookings.
  • Marketing contact details: until you unsubscribe.

7. Keeping it safe

Only staff who handle your booking can see your details. We use password-protected accounts, keep paper copies locked away, and train our team to handle personal data carefully. Never send card numbers or PINs to us by WhatsApp or email.

8. Your rights

You can ask us to:

  • tell you what personal data we hold about you and give you a copy;
  • correct anything that is wrong or incomplete;
  • delete your data, where we no longer need it for your booking or the law;
  • stop or limit how we use it, including stopping marketing messages at any time; and
  • withdraw your consent, without affecting what was done before.

We reply within the time the law allows. We may ask you to confirm your identity first.

9. Children

We collect children's details only when a parent or guardian books for them, and only what airlines, hotels or immigration require.

10. WhatsApp, forms & cookies

  • When you send a booking to us on WhatsApp, WhatsApp's own privacy terms also apply.
  • Our event registrations use Google Forms, so Google's privacy terms also apply to what you submit there.
  • Our website may use basic cookies or browser storage to remember your cart or choices. We do not use them to track you on other websites.

11. Contact & complaints

For any privacy question or request, contact us at reservations@seemiusafaris.com, WhatsApp +256 776 282 871, or call +254 796 785 000 in Kenya.

If you are not happy with our answer, you can complain to the Personal Data Protection Office in Uganda or the Office of the Data Protection Commissioner in Kenya.

We may update this policy from time to time. The date at the top shows the latest version.
